Job Description
Position Summary
Responsible for planning, developing, and executing all details pertaining to business meetings, incentives, and/or training seminars for the Company. Typical scope is 10-150 participants.
Responsibilities
+ Plans, researches, develops and executes logistical aspects of all assigned meetings. Elements may include proposal requests from vendors (RFP), creation and management of timelines, site-inspections, transportation logistics, menu planning, signage, shipping of POS, amenities, activities and on-site management (as needed).
+ Develops program introduction communication pieces, program teasers, and other program communications as assigned. Executes all program elements as directed by the Manager or the Program Lead, which may include managing transportation logistics, food and beverage functions, hotel registration, hospitality, production and audio-visual coordination, and daily billing processes. Ongoing program interface with all employees, vendors and suppliers.
+ Supports Manager as directed on large meetings.
+ Utilizes established program database (Cvent) to build registration websites and facilitate reporting process. Able to research/review data, analyze, and communicate results. Communication with all levels of management.
+ Manages program registration process: participant/travel registration on programs including database management, reports distribution, and detail/follow up. Creates, produces, and distributes communication pieces associated with registration process. Regularly communicates with outside vendors, including hotels, destination management companies, and third-party travel vendors.
+ Develop and maintain budgets in Cvent for programs and coordinates monthly budget process. Provides budget recaps for programs. Works with customer to identify budget differences between original estimate and final cost.
+ Review and process invoices, including the monthly reconciliation of the Corporate Meeting Card.
+ Work with local Sales Teams to confirm Constellation Brands product will be available or able to be brought into contracted venues
+ Maintains day-to-day relationships in support of all events, including outside vendors, hotels, destination management companies, and internal clients. Works with outside suppliers to ensure they contribute quality and expertise to the Constellation Brands.
+ Negotiate and review supplier contracts for cost savings, under the compliance guidelines set by the Legal Department.
+ May provide input to and administers various technological enhancements including Web page design and development, database enhancements, and registration system enhancements. Assists Manager with planning and developing new methods to implement technology into programs.
+ Fulfillment of responsibilities will be aligned and supportive of the Company's Vision, Mission and Strategic Imperatives.
+ All other duties as assigned.
Minimum Qualifications
+ College degree required
+ Minimum 5 years of meeting planning experience
+ Comprehensive verbal and written communication skills
+ Ability to interact successfully with all levels of management
+ Persuasive negotiation skills
+ Experience with management of multiple programs independently
+ Travel requirement: less than 25%
+ Meeting Management software tool experience preferred
+ Advanced proficiency in Microsoft Excel and database management, proficiency in PowerPoint/graphics
Physical Requirements/Work Environment

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
