Position:
Office Administrator The Office Administrator will greet, assist, provide direction and information to clients, visitors, internal and external customers, and other guests of the organization.
The Office Administrator provides clerical, organizational, and administrative support to HR, Safety, and executive staff members.
CORE RESPONSIBILITES:
Build trust and credibility by holding yourself and co-workers to the company's code of business ethics, and company policies & procedures Greet clients, visitors, and guests; determines the purpose of each person's visit and directs or escorts him or her to the appropriate location Answers, screens, and directs phone calls to staff and takes messages Build trust and credibility by holding yourself and co-workers to the company's code of business ethics, and company policies & procedures Greet clients, visitors, and guests; determines the purpose of each person's visit and directs or escorts him or her to the appropriate location Answers, screens, and directs phone calls to staff and takes messages Sends, tracks and Receives mail, documents, packages, and courier deliveries and routes or distributes items as necessary Inventories, purchases and distributes supplies for multiple locations Maintains emergency equipment and enforces safety protocol Performs administrative and clerical support tasks, including corporate directory updates, notetaking and tracking of all corporate policies Assists in onboarding new employees Uses Microsoft Word and Excel to assist in proper document control formatting and document creation Maintains document control files and the master document control log Performs filing and record keeping Scans/files/ maintains Safety, FMCSA, DOT electronic files Scans/files/maintains HR/EE electronic files Scans/files/maintains HIPPA electronic files Performs/assists in ordering and hosting refreshments and or lunches for VIP guests and company meetings Assists in planning employee events and recognition Complete and pass a criminal history record check and employment history verification.
A federal-level drug and alcohol-free status must be supported for the duration of employment and monitored through pre-employment, random, and reasonable suspicion drug testing requirements.
Performs other duties as required QUALIFICATIONS & SKILLS:
oExcellent verbal communication skills oExcellent interpersonal and customer service skills oAdministrative and clerical procedures and systems experience oHighly proficient with Microsoft Word, Microsoft Excel, Microsoft Teams, and other related software 2 years of administrative experience (preferred) A valid driver's license is required, as well as regular use of the employee's vehicle for errands is required, reimbursed at the IRS mileage rate.
